๐Ÿ“Œ 1. Cancellation Request Procedure

All cancellation requests must be made in writing and sent to our official communication channels, either by email or through the booking platform where your tour was originally confirmed. The effective date of your cancellation will be the date on which we receive your written request, not the date it was sent.

Verbal or informal requests (such as WhatsApp messages or phone calls) will not be considered valid unless followed up with a formal written notice.


๐Ÿ’ธ 2. Cancellation Charges

Once your written cancellation request is received and acknowledged, the following cancellation fees will apply based on the number of days prior to the scheduled departure date:

Days Before Departure Cancellation Charges
More than 45 days 40% of full payment per person
Within 45 days 60% of full payment per person
Within 30 days 100% of full payment per person (No refund)

Please Note:

  • The above cancellation charges apply to the total cost of the tour per person.

  • Substituting one traveler for another will also be considered a cancellation and is subject to these same cancellation fees.


๐Ÿจ 3. Additional Service Provider Fees

In addition to the cancellation charges mentioned above, any fees imposed by third-party service providersโ€”such as hotels, airlines, cruises, railways, or payment gateways (e.g., credit card processing, UPI, banking fees)โ€”will be deducted from the refund amount.

These charges may vary based on individual provider policies and could include:

  • Non-refundable hotel deposits

  • Airline cancellation penalties

  • Train ticket booking charges

  • Online payment processing fees

  • Bank transfer or international transaction charges

These charges are non-negotiable and will be communicated to you upon calculation of the final refund amount.


๐Ÿšซ 4. No Refund for Late Arrivals or Early Departures

Once your tour has commenced, no refunds will be issued for any part of the package that is not used due to:

  • Late arrivals at the departure location

  • Early departure during the tour

  • Missed services, transportation, or activities

  • Voluntary withdrawal from the tour

  • Illness or personal emergencies that prevent participation

This includes, but is not limited to, costs associated with:

  • Hotel stays

  • Transfers and transportation

  • Meals

  • Entry tickets and activity fees

  • Local guide services


๐Ÿ” 5. Changes to the Itinerary or Rescheduling

In case you are unable to travel on the scheduled dates but wish to reschedule the trip:

  • Rescheduling is subject to availability and applicable rebooking fees

  • Any increase in costs (due to seasonality, hotel rates, transport availability) must be borne by the client

  • The original cancellation policy still applies if rescheduling is not possible

We will do our best to accommodate such requests, but rescheduling is not guaranteed and is at the sole discretion of Shahu Tours.


๐Ÿ“† 6. Group Tours and Customized Itineraries

The cancellation terms mentioned above are generally applicable to both group tours and custom packages, unless otherwise stated in your personal itinerary or agreement.

For large group bookings (more than 10 people), special cancellation terms may apply based on the advance arrangements required. You will be informed of these specific terms at the time of booking.


๐Ÿ” 7. Force Majeure & Exceptional Circumstances

Shahu Tours shall not be liable to refund or compensate in events classified as Force Majeure, including but not limited to:

  • Natural disasters (floods, earthquakes, storms, etc.)

  • Epidemics or pandemics

  • War, terrorism, or civil unrest

  • Government-imposed travel bans or restrictions

  • Airline or transportation strikes or shutdowns

In such events, we will attempt to reschedule or offer credit notes for future travel where possible, but refunds may not be guaranteed depending on the involvement of third-party providers.


โœ… 8. Refund Process and Timeline

Once a cancellation has been approved:

  • Refunds will be processed via the original method of payment

  • Refund timelines may vary based on banking processes but are generally completed within 7 to 14 working days

  • You will receive written confirmation of your refund status and breakdown of deductions

For cash payments, refunds will be made through NEFT/IMPS to your registered bank account only, and official identification may be required.
